Participation Rules

<2025 Digital Media Tech Show Participation Regulations>

**Article 1 (Definitions)
** ① “Exhibition” refers to the “2025 Digital Media Tech Show.”
② “Organizer” refers to Gyeonggi Province and Goyang Special City.
③ “Operator” refers to KINTEX Co., Ltd.
④ “Exhibitor” refers to any company, association, or organization that applies to participate in the Exhibition.

**Article 2 (Application and Contract)
** ① To apply for participation, exhibitors must complete the booth application online and make full payment of the participation fee.
② Booth fees are as follows: Independent booth KRW 2,200,000/booth, Standard booth KRW 2,600,000/booth, Premium booth KRW 3,500,000 (excluding VAT / based on cash payment / early bird discounts may apply separately).
③ Additional facilities and standard booth setup are provided by the operator upon request. If there are any changes in the application or facility request, the exhibitor must immediately notify the operator in writing. The exhibitor shall bear all disadvantages caused by failure to notify.

**Article 3 (Payment Conditions)
** Exhibitors must pay 50% of the participation fee within 7 days after submitting the application. The remaining 50% and the facility fees must be paid by August 29, 2025. If applying after the deadline (August 29, 2025), full payment of both participation and facility fees must be made upon application.

**Article 4 (Booth Allocation)
** ① Booths will be primarily allocated based on the exhibit category requested. Within each category, booth location will be determined by payment completion date, scale of participation, and other criteria for efficient allocation by the organizer. Exhibitors cannot raise objections to the organizer’s decisions.
② The organizer may change the allocated area and location even after the initial assignment. Exhibitors cannot cancel participation or claim compensation due to such changes.

**Article 5 (Booth Setup and Restoration)
** ① Exhibitors must complete booth setup and item installation within the installation period announced by the operator.
② Installation is permitted from 8:00 AM to 8:00 PM during the designated period. For setup outside of this time, exhibitors must obtain prior approval and immediately pay additional charges upon the operator’s request.
③ All construction work must be carried out by contractors registered with KINTEX.

**Article 6 (Installation and Dismantling)
** ① Exhibitors must remove all exhibits and materials within the dismantling period announced by the operator.
② All additional costs (e.g., venue extension fees) due to delayed removal shall be fully borne by the exhibitor and must be paid immediately upon request.

**Article 7 (Exhibition Operation and Management)
** ① Exhibitors must display only the products specified in the application and assign staff to manage their booth effectively.
② The operator may suspend exhibits or forcibly remove booths under the following circumstances. In such cases, no refunds or compensation will be provided, and the exhibitor must cover all removal costs:
1. Exhibiting items not listed in the application
2. Exhibiting items not appropriate for the exhibition
3. Exhibits posing a safety hazard to visitors
4. Violations of the exhibition contract or supplemental regulations
③ The operator may restrict entry of certain individuals into the venue if necessary.
④ To ensure a quiet environment for business discussions, use of speakers in booths is strictly prohibited. All promotions must be conducted verbally. If speaker use is unavoidable, prior approval must be obtained, and use must be limited. The operator may enforce strict control if not followed.

**Article 8 (Security, Risk, and Insurance)
** ① The operator will contract with a security agency for access control and order maintenance during setup, exhibition, and dismantling. However, the final responsibility for all exhibits lies with the exhibitor, and no compensation will be made for theft or damage. Exhibitors must take necessary precautions such as purchasing insurance.
② The operator is not liable for any damage caused by force majeure, including natural disasters, fires, theft, or vandalism by third parties.
③ Exhibitors are fully liable for any legal issues (civil, criminal, or administrative) arising from defects or problems with their exhibits or services. If a third party files a legal claim against the operator due to the exhibitor’s fault, the exhibitor must resolve it and indemnify the operator for any expenses incurred.
④ Exhibitors are responsible for any accidents related to their exhibition activities and must report and respond promptly to the operator. If damage is caused intentionally or negligently by the exhibitor, they are liable for compensation to the operator, the venue, and third parties.

**Article 9 (Fire Regulations)
** ① All exhibits and materials in the exhibition hall must comply with fire safety regulations and be fire-resistant.
② The operator may request corrective actions for fire prevention, and exhibitors must comply immediately.

**Article 10 (Contract Termination)
** ① If the exhibitor refuses to use the assigned booth or fails to pay the participation fee on time, the operator may unilaterally terminate the contract. In this case, any paid fees will not be refunded.
② If the exhibitor cancels participation after application, the following cancellation fees must be paid within 7 days. Paid fees will be deducted accordingly, with any deficit to be paid additionally and any surplus to be refunded:
- By July 4, 2025: 50% of total participation fee
- July 5 – August 29, 2025: 80% of total participation fee
- After August 30, 2025: 100% of total participation fee
③ Cancellation fees exclude VAT and no tax invoice will be issued.
④ If the exhibitor sublets all or part of their assigned booth without prior agreement, the contract will be automatically terminated, and fees will not be refunded.

**Article 11 (Exhibition Cancellation and Changes)
** ① The operator may cancel, reschedule, or scale down the exhibition due to force majeure, government orders, or emergencies. The operator is not liable for resulting damages.
② The operator may change the exhibition period or opening hours if necessary. No compensation will be made for resulting damages, and exhibitors may not cancel their participation due to such changes.

**Article 12 (Exhibitor Cooperation)
** ① Exhibitors must actively cooperate with surveys and post-event performance inquiries requested by the operator.
② As part of ESG initiatives, exhibitors are encouraged to reduce the use of disposable items and promote reusable materials in their booths.

**Article 13 (Supplementary Regulations)
** The operator may establish supplementary regulations not specified herein, and exhibitors must comply with the operator’s interpretations.

**Article 14 (Dispute Resolution)
** Any disputes arising between the operator and exhibitors regarding these regulations shall be finally settled by arbitration under the Korean Commercial Arbitration Board.
